Job Purpose:
To provide a full secretarial and administrative support service to the Managing Director and assist the accounting department, sales and technical team
Key Challenges:
Managing time and workload effectively when directed by a variety of people
Flexibly being available for last minute jobs to support the MD
Using personal initiative to achieve the best result, within budget
Key Results: (Principal Accountabilities)
Provide admin support to the Management team, primarily the MD and company
directors
Attend key management and board meetings; record accurate minutes
Assist with preparation for meetings, tenders and proposals
Administer daily HR requirements; Training needs, holiday requests and staff recruitment
Coordinate diaries for the team & MD
Organise travel and accommodation for international business, on an ad hoc basis
Screen and respond to all incoming telephone calls and take action as appropriate
Provide the management with flexible and dependable support
Act as the company secretary filing corporate changes as required with companies
house
Act as personal relations agent when recruiting for staff or at events
Execute office purchases within budget for stationary
Receive visitors to the office
Represent the company in a respectful and professional manner
Undertake projects and research, which might require contact with external agencies, as
required by the MD
Operate standard office equipment such as word processor, photocopier etc
Open & distribute post
Keep the office clean & tidy
Reports to:
Work load varied amongst the following;
Stuart Nicholls - General PA / Administrative responsibilities
Knowledge, Skills & Experience:
Ability to work alone using own initiative
Excellent interpersonal skills
Exceptional organizational skills and ability to
Tact and discretion
A full range of secretarial skills
Creative writing and good English grammar
Experience of taking accurate minutes at board level
Working in a focused and professional manner representing the company ethos both
internally and externally
